HR area

All HR dialogs follow the same layout: a title, a “My requests/…” list with the history, a new request/action block, and submit buttons. Requests create HR tickets with the matching process (Processes).

What it is for. It is the self-service desk to request and track absences (holiday, permits, sick leave, bereavement, ROL). On a single screen you see your balance, a history of your requests with their status, a visual calendar and a quick form to send a new request without going through the full procedure.

When to use it. To request holiday or a permit; to find out how many days you have left before planning a holiday; to check whether a request has been approved; to cancel a request that is still pending; to get an at-a-glance view of the month’s absences on the calendar.

How to open it. Home → HR services → Leave. The dialog automatically loads the balance and requests of the signed-in user.

What it shows.

  • Four counters (KPIs) at the top: Entitled (annual total), Used, Pending (pending requests), Remaining (available). The values come from the HR system (leave balance).
  • Monthly calendar: each day is coloured by absence status — green = approved, yellow = pending, struck-through red = rejected; today is highlighted and weekends are dimmed. Use the ‹ / › arrows to change month; the colour legend is at the bottom.
  • My requests: list (case code, title, date range, coloured status badge). Requests that are still pending show the ✕ button to cancel them.

How to use it (“Create request” quick form). In the right-hand panel:

  1. From / To — select the dates (“To” can be the same as “From” for a single day). The system automatically calculates and shows the number of working days (Saturday/Sunday excluded).
  2. Type — choose from Holiday, Permit, Sick leave, Bereavement, ROL.
  3. Description/Reason (required) — the reason for the request.
  4. Any additional fields specific to the type (they appear dynamically from the catalogue).
  5. Send — the button is enabled only with valid dates and at least one working day; if the start date or reason is missing, a warning appears and the field is highlighted.

Cancellation. On pending requests, the ✕ button asks for confirmation and then applies the cancellation transition; the request no longer counts as “Pending”.

What happens next. Sending creates an HR-LEA ticket (process Absence request, 3 stages: request → manager approval → recording). The new absence appears straight away in the list and on the calendar and is routed to the approver. Follow the outcome from the Inbox (HR tickets filter) and from the status badges.

Notes. Balances are managed by the HR system and you cannot change them. Only pending requests can be cancelled; requests already approved/recorded need HR to step in.

What it is for. It lets you declare the overtime hours you worked and follow their approval. It brings together summary counters, a quick entry form and the filterable history of your requests on one screen.

When to use it. After working extra hours (e.g. a production deploy, an urgent issue); to check how many requests are pending or approved; to review the history by status.

How to open it. Home → HR services → Overtime.

What it shows.

  • A New request button (in the header) that opens the full New HR request procedure already set to the overtime type.
  • Pill filters: All / Pending / Approved / Rejected.
  • Three counters (KPIs): Pending, Approved, Total.
  • Quick request (inline quick form): Date, Hours (0.5–12, in half-hour steps), Reason (e.g. “Production deploy”), plus any dynamic additional fields for the type.
  • Request list: case code, title, date, status badge.

How to use it.

  1. Quick way: fill in Date, Hours and Reason in Quick request and press Send (all three fields are required); the request is created immediately.
  2. Full way: New request to add a longer description, attachments and other fields.
  3. Use the filters to focus on a subset of requests.

What happens next. Sending creates an HR-OVT ticket (process Overtime, 3 stages: request → manager approval → hours recording). The request appears in the list and in the Inbox (HR tickets filter) and is forwarded to the approver.

Notes. The 0.5–12 hour limit per request prevents typing errors; for several periods, enter several requests.

What it is for. It is the tool for reporting your working hours by project / phase / activity (PSA). It lets you record hours day by day, use a real-time timer, reuse the previous week, import hours from worked tickets and finally send the timesheet for approval to your manager.

When to use it. Every week to report your hours; when you want to time an activity while you do it (timer); when your hours are similar to last week (copy); when you worked many tickets and want to turn them into hours; at the end of the week to send your timesheet for approval.

How to open it. Home → IT services → Timesheet (cross-cutting PSA item). It opens on the current week.

What it shows.

  • Week bar: arrows to move to the previous or next week, Today button, “Week ” label.
  • Timer: when running it shows the current project and the minutes, with Stop & save; when idle, a project selector and Start timer.
  • Three counters (KPIs): Week hours, Rows, Status (open/submitted/approved/locked).
  • Weekly grid: rows by Project and Phase/Activity (with a bill / no-bill badge), columns Mon→Sun with the hours per day and a Tot column; at the bottom the daily totals and the week total.
  • Add hours (form): Project, Phase, Activity, Day, Hours, Billable (Yes/No), Note.
  • Suggestions from worked tickets: table with ticket, date, hours and project to assign, with Import on each row.

How to use it.

  • Live timer: select the project and Start timer; when you finish, Stop & save automatically records the minutes spent.
  • Manual entry: fill in Add hours (phases/activities update based on the chosen project) and press Add.
  • Copy prev. week: duplicates the rows of the previous week as a starting point to adjust.
  • Prefill from tickets: opens the suggestions taken from ticket worklogs; for each row choose the project and Import (the import is idempotent: importing again does not create duplicates).
  • Send for approval: sends the week’s timesheet; the sheet moves to submitted status and becomes locked (no longer editable).

What happens next. Sending creates an approval request that appears to your manager in Inbox → Approvals (the same Approval dialog, Approvals). Once approved, the timesheet moves to approved. Billable hours feed the financial reporting for the project.

Notes. A submitted/approved/locked timesheet cannot be edited: for corrections, contact your manager or ask for it to be reopened. The Billable flag separates hours billable to the customer from internal hours.

What it is for. It is a full expense claim editor (spreadsheet style) to request reimbursement for business trips and company expenses: trip header, detailed expense rows, receipts attached to each row, global attachments, automatic totals and sending for approval.

When to use it. After a business trip or an expense to be reimbursed; to attach receipts; to follow the reimbursement status (pending, approved, paid); to correct and resend a rejected claim.

How to open it. Home → HR services → Expense claims / Reimbursements.

What it shows — list view.

  • Three counters (KPIs): Awaiting approval (€), Approved/Paid (€), Total expense claims (number).
  • Claim list: identifier, title, number of rows, date, amount, status badge: Draft · Sent · Approved · Rejected · Paid.
  • New expense claim and ← Back buttons.

What it shows — claim editor.

  • Header: Title (required), Trip type (Local/Italy/Europe/Outside Europe/Smart working), Period from/to, Customer/Project, Cost centre / WBS, Notes.
  • Expense grid (one row per item): Date, Category, Description, Country, Currency, Gross, VAT%, Net (calculated automatically from Gross and VAT), Payment (Cash/Personal card/Company card/Bank transfer/App), Receipt (view · upload/replace), plus duplicate and remove row.
  • Grid tools: Add row, Paste (imports several rows from Excel/CSV in the format data;categoria;descrizione;importo;iva%).
  • Global attachments (assignment letter, plane tickets, etc.): drag & drop area or file selection (PDF/JPG/PNG/HEIC/WEBP, max 5MB each).
  • Footer: Advances received €, To be reimbursed (gross total − advances, calculated live), Save draft, Send for approval, Delete (drafts only).

How to use it.

  1. New expense claim → give it a title (e.g. “Milan trip 12-14/05”).
  2. Fill in the header and add the rows (manually or with Paste). Net is calculated from Gross and VAT%.
  3. Upload the receipt for each row; add any global attachments by dragging them into the area.
  4. Save draft to save without sending.
  5. Send for approval (enabled only with at least one row): after sending, the claim can no longer be edited.

Statuses and lifecycle. Draft (editable) → Sent (pending) → Approved → Paid. If Rejected, the claim shows the reason for rejection and becomes editable again so you can correct and resend it.

What happens next. Sending creates an HR-EXP ticket (process Expense claim, 3 stages: submission → approval → settlement) that goes to the Inbox and to the approver. The approved amount is paid according to the administrative processes.

Notes. 5MB limit per file. Closing with unsaved changes asks for confirmation. Expense limits/categories are defined by the HR system.

What it is for. It collects the HR documents assigned to you — policies, communications, onboarding/offboarding documents, documents from document campaigns — and lets you read them, see a PDF preview and, above all, sign them electronically without leaving the portal.

When to use it. To sign a required document (e.g. a policy, a privacy notice, an onboarding form); to reread/download a document; to check which documents are about to expire or already signed.

How to open it. Home → HR services → Documents, or from the Docs to sign filter in the Inbox.

What it shows.

  • Deadline banner at the top: yellow if there are documents to sign within 5 days, red if they are overdue.
  • Text search on title/description.
  • Filters with counts: All · To sign · Signed.
  • “Onboarding documents to sign” section (when present): cards with the status “to sign” or “signed”; some documents require the legal signature of the Country Manager and are read-only for you (they show the status “waiting for Country Manager” / “legally signed”).
  • Document list: cards with icon, title, code, description excerpt, creation date, any deadline (highlighted if overdue) and status badge.

Document detail. When you open a card:

  • Preview: PDF shown inline in a frame (with toolbar), or a link to the file if it cannot be previewed; if there are several files, tabs let you pick them.
  • Details panel: Status, Created on, Deadline, Priority, Description.
  • Signature box (if not yet signed): Sign document button.

How to use it (signing). From the detail, Sign document opens the shared signature dialog, which offers three methods: drawing (signature pad), image (upload a signature), MFA (confirm with a 2FA code). Once you confirm the signature, the document moves to Signed. Onboarding documents are signed from their own section (same signature dialog).

What happens next. The signature is recorded with tamper-proof evidence (image on secure storage or MFA evidence) and feeds the HR-POL (Policy) / HR-CAMPAIGN (Document campaign) processes. The document leaves the “To sign” list.

Notes. The legal signature on behalf of the company is the Country Manager’s job: for those documents you see only the status. Overdue documents are highlighted in red; sign documents with a close deadline in good time.

What it is for. The “My contract” dialog gives you a self-service, always up-to-date view of your employment: contract type, role, start and end dates, signed contract documents and the history of previous versions. It answers the most common questions without contacting HR (“when does my contract end?”, “what type of contract do I have?”, “where is the signed PDF?”) and lets you start the related requests in one click (renewal or clarification).

When to use it. Typically: to check the end date and get the renewal notice in time; to download/reread the contract and its attachments; to request a renewal early; to raise a doubt about a clause or an incorrect detail; to check the history of contract changes over time.

How to open it. From the Home, HR services → Contract section. The dialog automatically loads the contract data linked to the signed-in user (no parameters to enter).

What it shows.

  • Expiry notice (banner at the top, shown only when relevant):
    • contract ending within 90 days → yellow banner with the number of days left and the date (“Check with HR about renewal”);
    • within 30 days → red banner (“Contact HR urgently”);
    • already expired → red banner “Contract expired on ”.
  • Active contract card: contract title, case code and current status, plus a grid with:
    • Contract type (e.g. permanent/fixed-term/apprenticeship — from the HR master data field),
    • Role / Job,
    • Start (contract registration date),
    • End (end date, if any).
  • Contract Description/Notes, if any.
  • Documents: list of contract attachments (signed PDFs, addenda). Each document opens with in the built-in viewer (preview/print/download), without leaving the portal.
  • Previous contract history: chronological list (date · title · status) of the contract versions before the active one.

How to use it (actions).

  • Request renewal — opens the New HR request dialog already prefilled (subject “Contract renewal request”): you add any notes and send. An HR ticket is created that starts the renewal procedure on the HR side. Use it typically when the expiry notice appears.
  • Ask for clarification — opens New HR request prefilled (subject “Contract clarification”): use it to report an incorrect detail or ask for an explanation of a clause/amount. It creates an administrative support HR ticket.
  • Viewing documents: on each attachment, to read/print/download it.

What happens next. The Request renewal and Ask for clarification actions create an HR ticket (administrative type HR-ADM) that goes to the Inbox (HR tickets filter) and is taken on by the HR team according to the HR-CONTRACT process (contract management). You can follow its progress from the Inbox and receive update notifications.

Special cases.

  • No contract registered: if the system finds no contract linked to you, the dialog shows a dedicated message with an Open HR ticket button to ask HR to register the contract.
  • The data shown comes from the HR master data: report any inconsistency with Ask for clarification (you cannot edit it yourself).

What it is for. It gives access to the payslips published by the company and lets you report an issue with your payslip.

When to use it. To download or view the month’s payslip; to review the history; to report an error or a doubt about an amount.

How to open it. Home → HR services → Pay.

What it shows.

  • “Latest payslip” box: month/title, publication date, number of attached files and a Report an issue button.
  • Payslip history: grid of cards, one per month, with case code and number of files.

Payslip detail. When you open a card:

  • List of the payslip files: Open each file in the built-in viewer (view inline · download · print, with authenticated download).
  • Report an issue with this payslip button.
  • ← Back to return to the history.

How to use it. Select the month → open the payslip PDF from the detail. For an error, use Report an issue: it opens the New HR request dialog prefilled (subject “Payslip issue ”).

What happens next. The report creates an HR-PAY ticket (process Payslip / Payroll, 3 stages) routed to payroll administration; you follow it from the Inbox.

Notes. Payslips are read-only; files open in the secure viewer (this avoids authorisation errors on direct links).

What it is for. It is an AI assistant for career development: it offers four guided analyses that return a score, a narrative and personalised recommendations based on your data (goals, skills, training, workload).

When to use it. To explore a possible career path; to assess your work-life balance; to find your skill gaps and the courses that can close them; to get an indicative estimate of performance/bonus.

How to open it. Home → HR services → Career.

What it shows. Four analysis cards:

  • Career path analysis — suggests a career path from goals, skills and training.
  • Work-life balance score — assesses work-life balance based on workload and leave.
  • Skill gap & suggested courses — identifies skill gaps and proposes targeted courses.
  • Performance & estimated bonus — estimates performance and any bonus.

And a results area with: score /100 (coloured green/orange/red), a summary narrative, and sections such as Strengths, Gaps to close, Recommended courses, Actions, Insights, Recommendations, Next steps, Metrics.

How to use it. Click a card → the AI processes and shows the structured result. The latest analyses are kept in a small local history. From the suggestions you can go to Training/OKR to act on them.

What happens next. The analysis is generated on demand (no ticket is created). The suggestions are starting points for planning training, goals or internal mobility.

Notes. The results are AI-generated suggestions, not official company decisions; their quality depends on how complete your profile data is (skills, goals, history).

What it is for. It manages your professional certifications: it tracks those you have earned and their expiry dates, and offers a personal library where you upload, download and delete your certificates (PDF/images).

When to use it. To upload a certificate you have just earned; to check which certifications are about to expire and plan their renewal; to download a certificate when you need it; to start looking for a renewal course.

How to open it. Home → HR services → Certifications. The dialog has two tabs.

Requests tab (certifications tracked as HR-CERT tickets):

  • Three counters (KPIs): Valid, Expiring (90d), Expired.
  • Warning banner if there are expiring or expired certifications.
  • A card for each certification: title, code, date earned, expiry date and validity badge (“Valid for N more days”, “Expires in N days”, “Expired N days ago”).
  • For certifications expiring within 90 days, Find renewal course appears (it opens the Training dialog).

My library tab (personal archive):

  • Upload form: Certificate name (required), Issuing body, Date earned, Expiry date (if any), PDF/PNG/JPG file (max 15MB) (required), Upload to library button.
  • Library table: Certificate (with the badge’s verification code, if any), Issuer, Earned, Expiry, Status (Valid/Expiring/Expired), Download and ✕ delete (only for certificates you uploaded).

How to use it. Upload a certificate by filling in the name and file and pressing Upload to library; download/delete it from the table; for renewals use Find renewal course.

What happens next. The certifications you earn feed the HR-CERT process and the Skills/Competencies on your profile; uploaded files stay in your personal library (secure storage).

Notes. Only certificates you uploaded can be deleted; those added by HR are read-only. The verification code allows public validation of the badge.

What it is for. It centralises your training: assigned or requested courses, their progress, the company course catalogue you can enrol in and the option to request a course that is not in the catalogue.

When to use it. To follow assigned courses and complete them; to enrol in a catalogue course; to request specific training; to track completed courses (also useful for certifications).

How to open it. Home → HR services → Training, or from the Find renewal course button in Certifications.

What it shows.

  • Tabs with counts: My courses · Requested · In progress · Completed · Catalogue.
  • Three counters (KPIs): Requested, In progress, Completed.
  • Course card (in my courses): title, code, description, date, status badge (To complete/In progress/Completed/Expired).
  • Catalogue: course cards with title, description, skills/tags and an Enrol button.

How to use it.

  • Request course (in the header): opens New HR request to ask for training that is not in the catalogue.
  • Enrol (catalogue): opens New HR request prefilled (“Course enrolment: ”).</li> <li>Click a course in “My courses”: opens the <strong>detail in the Inbox</strong>, where you can <strong>Start course</strong> and follow its progress.</li> </ul> <p><strong>What happens next.</strong> Requests create <strong>HR-SKI/HR-COURSE</strong> tickets (processes <em>Skills</em> / <em>Training</em>). Completing a course updates your skills and can meet certification requirements.</p> <p><strong>Notes.</strong> The catalogue is <strong>live</strong> (published by HR): if it is empty, use <strong>Request course</strong>. Assigned courses with a deadline must be completed by that date.</p> <div class="sl-heading-wrapper level-h2"><h2 id="goals--okr">Goals / OKR</h2><a class="sl-anchor-link" href="#goals--okr"><span aria-hidden="true" class="sl-anchor-icon"><svg width="16" height="16" viewBox="0 0 24 24" fill="currentColor"><path d="m12.11 15.39-3.88 3.88a2.52 2.52 0 0 1-3.5 0 2.47 2.47 0 0 1 0-3.5l3.88-3.88a1 1 0 1 0-1.42-1.42l-3.88 3.89a4.48 4.48 0 0 0 6.33 6.33l3.89-3.88a1 1 0 0 0-1.42-1.42m8.58-12.08a4.49 4.49 0 0 0-6.33 0l-3.89 3.88a1 1 0 1 0 1.42 1.42l3.88-3.88a2.52 2.52 0 0 1 3.5 0 2.47 2.47 0 0 1 0 3.5l-3.88 3.88a1 1 0 0 0 0 1.42 1 1 0 0 0 1.42 0l3.88-3.89a4.49 4.49 0 0 0 0-6.33M8.83 15.17a1 1 0 0 0 .71.29 1 1 0 0 0 .71-.29l4.92-4.92a1 1 0 1 0-1.42-1.42l-4.92 4.92a1 1 0 0 0 0 1.42"></path></svg></span><span class="sr-only" data-pagefind-ignore>Section titled “Goals / OKR”</span></a></div> <p><strong>What it is for.</strong> It manages your <strong>personal goals (OKR)</strong>: defining them, tracking <strong>progress</strong> and periodic <strong>check-ins</strong> to update your progress.</p> <p><strong>When to use it.</strong> To define a new goal agreed with your manager;
